Teach your assistant about your business
Use the AI Training Center to give your assistant facts from your website, PDFs and typed notes, and to set rules and corrections for how it answers.
Your assistant answers questions from what you teach it. The AI Training Center is where you add your business facts, such as hours, services, prices and policies, and set rules for how the assistant behaves. You can add knowledge from a page on your website, from a PDF or by typing it in. You need at least one assistant. Everything here can be set once for the whole business or added for one assistant only.
Open the AI Training Center
- In the sidebar, under AI Configuration, open AI Training.
- Use Editing at the top to choose the level you're working on:
- Company-wide (all assistants): every assistant follows what you add here.
- A single assistant: that assistant follows everything company-wide, plus anything you add for it. Company-wide items show as inherited and can only be changed at the Company-wide level.
The tabs are Identity, Rules, Corrections, Knowledge, Files, History, Business Texting Registration and Business Settings.
Set your company identity
On the Identity tab, under Company identity:
- Company name: your business name.
- Default AI name: the name the AI gives when asked, for example "Ava".
- Default greeting: a standard greeting.
- Recorded-call notice: what the AI says when a caller asks whether the call is being recorded.
Click Save identity. The company name you set at the Company-wide level is part of the dashboard's setup checklist ("Add your business info").
Add knowledge
Open the Knowledge tab. There are three ways to add knowledge.
Type it in
Under Add company information:
- Enter a Title (for example "Office hours") and the Details (for example "Mon–Fri 9am–6pm Eastern. Closed federal holidays.").
- To add several at once, click Add another.
- Click Add entry (or Save with the number of entries, if you added more than one).
Short, specific entries work best: one topic per entry, written the way you'd say it to a customer.
Import a page from your website
Under Add from a URL or PDF:
- Paste the page address, for example
https://your-site.com/pricing. - Click Scrape & add.
AIVA reads the page and stores it so the AI can search it during a call. It doesn't read the page out in full. Add each important page (pricing, services, FAQ, policies) on its own.
Upload a PDF
In the same section, click Upload a PDF and choose the file. Only PDFs are accepted. Like a scraped page, the whole document is indexed so the AI can search it during a call.
Keep knowledge up to date
Each entry has a switch to turn it on or off, plus edit and delete buttons. The stats at the top of the page help you spot problems:
- Knowledge that may be out of date: entries marked May need a refresh. Click the tile to see only those.
- Sources that failed to load: pages or files that couldn't be processed, marked Failed. Click the tile to see them, then fix or re-add them.
The Files tab
The Files tab is your library of PDF documents. Click Upload PDF, drop a PDF in or click to browse, and give it a name (3 to 80 characters) under Enter file name. Then click Upload. The maximum file size is 10 MB, and other file types aren't supported. You can search files by name and filter by assistant.
Write rules
Rules tell the assistant what it must or mustn't do. On the Rules tab, under Write a rule:
- Choose the Kind:
- Always do this: something the AI must do on every call.
- Never do this: a hard limit. The AI redirects politely rather than break it.
- In this situation, do this: a rule that only applies when something specific comes up.
- Write the Rule in plain words, for example "never discuss pricing over the phone".
- Click Add rule.
Each rule has a switch, so you can turn it off without deleting it.
Teach corrections
When you review a call and the assistant said the wrong thing, add a correction so it answers better next time. On the Corrections tab, under Teach a correction:
- When the caller says something like: the question or phrase, for example "How much do you charge?"
- What the AI said (optional): the answer you want to stop.
- What it should say instead: the answer you want.
- Click Save correction.
The Corrections this month tile at the top shows how many you've added. Like everything in the AI Training Center, rules and corrections apply from the next call. You don't need to publish the assistant again.
Check what the AI is told
At the bottom of the page, expand What the AI is told to see the exact text your rules, corrections and knowledge add to the assistant. Use Copy to copy it. This lets you check a rule without placing a test call.
The History tab lists every edit made in the AI Training Center, with its date.
Troubleshooting
A website page shows as Failed. The page may block automated reading or need a login. Copy the important text into a typed entry instead.
The assistant still gives an old answer. Check whether an older entry, rule or correction says something different, and turn it off or update it. Also check the Company-wide level, since its items apply to every assistant.
"Choose a PDF — other file types are not supported yet." Save Word or other documents as PDF first.
