Bookings
Booking pages and booking on your website
Create a public booking page with its own link and QR code, ask customers your own questions, and add a Book online section to your Aiva Chat website.
A booking page is a public page where customers pick a service and a free time and book themselves, with no call needed. Each assistant can have one booking page, with its own link and QR code. You can also put booking straight onto your Aiva Chat website, so visitors book without leaving it. You need an assistant, and ideally your services set up first (see Set up bookings).
1. Create a booking page
- On the Appointments page, click Booking pages.
- Click New booking page.
- Fill in:
- Assistant: the assistant the page books for. Its business hours, services and settings apply.
- Page title (optional) and Intro text (optional): what customers see at the top.
- Appointment length: used when a booking has no service.
- Minimum notice: how soon before a time customers can book it, from No minimum to 2 days.
- Book up to: how many days ahead customers can book.
- Services offered: leave it at all of the assistant's services, or pick some.
- Offered at: if you have several locations, where this page books.
- The page's language. Booking pages can show in English, Spanish, Hindi, Gujarati, Polish or German.
- Add any questions (see below), then save.
The page now shows in the list with its link. Click Copy link to share it, Open to see it, or download the QR code for a poster, a flyer or your counter.
Customers see free times within the assistant's business hours, skipping existing appointments and, when Google Calendar is connected, busy times there. Each booking lands on the Appointments page, creates or updates the contact, and sends the customer a confirmation with a link to manage their booking.
2. Ask your own questions
In the booking page form you can add questions customers answer when they book, such as "What's your vehicle?" or "Is this your first visit?".
- Choose the answer type: Short answer, Long answer or Choose one. For Choose one, put each option under Choices, one per line.
- Every question needs its wording.
Answers are saved with the appointment. Customers always give their name and phone number, and can add an email and a note. The page also has an optional consent box where customers agree to be contacted by call or text.
3. Add booking to your Aiva Chat website
If you've published a website at your workspace address, customers can book on it too. Booking on your website needs a paid plan; it isn't available on the trial.
- In the sidebar, open Website & Leads → Website.
- On the Business tab, under Ways to reach you, choose your Booking page.
- On the Sections tab, show the Book online section. Add Text above it (optional) and, under Services shown, pick which services to list.
- Publish your changes.
Visitors book at your website's /book address, in your site's own design. With one service (or none), the next free times show right in the section. With several, each service gets its own Book button. You can also point the header's call-to-action button at your booking page from the Header & footer tab.
Change or switch off a page
Click the edit button on a page's row to change it. To stop taking bookings on it, switch the page off; the page then says bookings are switched off. Deleting a page stops its link and QR code working. Appointments already booked are kept.
Troubleshooting
Customers see no times. Check the assistant's business hours, Minimum notice, Book up to, and any staff or location hours the service needs. If Google Calendar is connected, check it isn't showing that whole period as busy.
There's no link to share. If the list says there's no public address, contact support.
The Book online section is missing from my site. Check you've chosen a booking page on the Business tab, that the section is shown, and that your account is on a paid plan.
