Intake · Consultations · Hand-off

Built for a law firm’s front desk.

Three jobs that interrupt attorneys and staff the most — handled calmly, on every call.

Notes the practice area. Not the case.

Asks which practice area the matter relates to and notes it in a line — without collecting case details — then books a consultation and adds it to your Google Calendar.

Answers your policies. Never gives legal advice.

Practice areas, consultation fees, office hours and what to bring to a first meeting — answered from your knowledge. It never offers an opinion on anyone’s case.

Hands callers to an attorney when they need one.

Warm-transfers to an attorney’s or paralegal’s number. If nobody picks up, it takes a message and creates a task, so a new enquiry isn’t lost.

In practice

The questions it already knows.

“Do you handle employment cases?”

Yes — the firm handles employment, family and estate-planning matters. I can book you a consultation.

“What should I bring to the first consultation?”

A photo ID and any letters, contracts or court papers related to your matter.

“Do I have a case against my employer?”

I can’t give legal advice, but I can book a consultation so an attorney can go through it with you.

Law firms FAQ

Questions firms ask before switching.

No. AIVA’s law-firm template tells it never to give legal advice or an opinion on a case. When a caller asks whether they have a case, it offers to book a consultation or to take a message for the firm.

A brief note of the practice area, the caller’s contact details and the consultation time — it doesn’t ask for case details. Transcripts and summaries are PII-scrubbed (card numbers, SSNs, dates of birth and any terms you add), and you set how long data is kept.

Callers hear a spoken notice before any recording starts. Recordings play back through short-lived links, and the data retention period is yours to set.

Yes — it can warm-transfer to their number. If nobody answers, it takes a message and creates a task. You can also listen in on a live call, whisper to the AI, or take over from the dashboard.

Yes. Approval controls let you set each AI action to run automatically, ask first, or never — with an approval queue and a daily cap.

It books consultations from its own appointment book — the ones it takes plus any you add in the AIVA dashboard — and writes every booking, reschedule and cancellation to your Google Calendar. It doesn’t read events added directly in Google Calendar, so add those through the dashboard too.
